What Should an Invoice Include?

Requirements differ between countries, but a clear invoice usually has:

  • The word “Invoice” and a unique invoice number
  • Your business name, address and contact details
  • The client’s name and address
  • Issue date and payment due date
  • A description, quantity and price for each item
  • Subtotal, any discount, tax and the total due
  • Your tax or VAT number, if you are registered
  • How to pay you, and your payment terms
  • Any late-payment terms you have agreed

How Invoice Numbers Work

Each invoice gets its own number so you and your client can refer to it, and so your records have no gaps. Most businesses use a simple sequence with a prefix, such as INV-0001, INV-0002, or include the year, such as 2026-001.

This generator suggests the next number in your sequence from the invoices saved in this browser. If you also invoice from another device or app, check that the number has not been used before you send it.

How to Calculate Invoice Tax

Tax is worked out on the amount after any discount. Here is the sample invoice below, calculated the same way the tool does it:

Website design: 1 × £1,200.00
£1,200.00
Copywriting: 6 hours × £45.00
£270.00
Subtotal
£1,470.00
Discount (5%)
−£73.50
VAT (20%) on £1,396.50
£279.30
Total
£1,675.80

Amounts are calculated in whole pennies (or cents), with rounding half up, so totals never show errors such as £129.999. Tax rates and rules vary by country and business type; check yours with your tax authority or an accountant.

Invoice Tips for Small Businesses

  • Invoice promptly

Send the invoice when the work is delivered, while it is fresh for your client.

  • Be specific

Describe what was delivered and when. Clear lines get approved and paid faster.

  • Make paying easy

Put complete payment instructions on the invoice, and a payment link if you use one.

  • Agree terms first

Payment terms and late fees work best when the client has agreed them before the work starts.

  • Keep a PDF copy

Save every invoice you send as a PDF in your own records or accounting software.

  • Follow up politely

A short reminder a few days before and after the due date solves most late payments.

How to Download Your Invoice

  1. Click Download PDF above the preview.
  2. In the print window, set the destination to “Save as PDF” (on iPhone and iPad, use Share, then Save to Files).
  3. Choose where to save it. The file name is suggested from the invoice number and client.

Gray sample text in the preview is never printed. Long invoices continue onto extra pages, with the column headings repeated.

Invoice Generator: Frequently Asked Questions

Is the invoice generator free?
Yes. Creating, saving, downloading and printing invoices is free, with no limits, no watermark and no trial.
Do I need an account?
No. There is no sign-up, email or login. You can create and download an invoice straight away.
Can I download invoices as PDF?
Yes. Click Download PDF and choose “Save as PDF” in your browser’s print window. This works in Chrome, Edge, Safari and Firefox on desktop and mobile, and keeps the text sharp and selectable.
Can I add my business logo?
Yes. Upload a PNG, JPG or WebP image up to 2 MB. It is resized in your browser and never uploaded to a server.
Can I add tax or VAT?
Yes. Name the tax (Tax, VAT, GST, Sales Tax) and enter the rate. It is applied to the subtotal after any discount. Check the tax rules that apply to your business; this tool does not give tax advice.
Can I use different currencies?
Yes: USD, EUR, GBP, AED, SAR, PKR, CAD, AUD, INR, JPY or any symbol you type. The currency changes how amounts are shown; nothing is converted.
Where is my invoice data stored?
Only in your browser, on your device (local storage). Nothing is sent to our servers. Clearing your browser data deletes saved invoices, so keep a PDF copy of anything important. See our privacy notice.
Can I create invoices on mobile?
Yes. On a phone you switch between Edit and Preview, and you can download the PDF from your phone’s print or share menu.
Can I save invoice drafts?
Yes. Every change is saved automatically on this device, and your recent invoices are listed under the editor so you can open, duplicate or delete them.
Do invoice numbers need to be unique?
In most countries, yes: each invoice should have its own number, usually in sequence. The tool suggests the next number from the invoices saved on this device, but it cannot see invoices you made elsewhere, so check it before sending.
