Your calls and customers

From your phone system or call log.

Unanswered, voicemail or after-hours calls.

Excluding spam, existing customers and suppliers.

Of the recovered callers, how many book or buy.

Revenue minus direct costs for a typical new customer, not total revenue.

Not every missed caller will talk to an AI or leave details.

Subscription or usage fees.

For example extra phone minutes or staff time for follow-up.

Conservative, current and optimistic

Only the two most uncertain assumptions change: the share of missed opportunities recovered and the conversion rate. Everything else stays as you entered it. Your inputs are never changed.

How Missed Calls Affect a Business

A caller who reaches voicemail often calls the next business on the list instead of leaving a message. For businesses where customers call to book, ask for a quote or report an urgent problem, each unanswered potential customer is a job that may go elsewhere. An AI receptionist answers those calls, captures details and books or routes them, but it cannot recover callers who hang up before it answers or who only want a person.

How to Estimate the Value of a New Customer

Start with what a typical new customer pays you on their first job or first few months. Then subtract the direct costs of serving them: materials, labor, fees. What is left is gross profit, the figure to enter.

Revenue vs gross profit: a $1,000 job that costs $600 to deliver adds $400 of gross profit, not $1,000. Using revenue would make any AI receptionist look several times more profitable than it is. If repeat business matters, use a cautious lifetime figure, and say so when you share the result.

Which Businesses May Benefit

The calculator tends to show the biggest effect where calls are frequent, many are missed (busy hours, evenings, weekends, staff on jobs) and each new customer is valuable: home services, dental and medical practices, real estate, automotive and professional services. Limits of This Calculator

  • It is only as good as your assumptions. Measure your missed calls instead of guessing where you can.
  • It looks at one month at a time and does not model seasonality, repeat purchases or growth.
  • It does not include staff time saved on calls you already answer, which can be a separate benefit.
  • It cannot predict how callers will react to an AI receptionist in your market.
  • It is not financial or investment advice.

AI Receptionist ROI: FAQ

Is every missed call a lost customer?
No. Many missed calls are spam, existing customers, suppliers or people who call back. That is why the calculator asks what share of missed calls are potential customers, and what share of those an AI receptionist could realistically recover.
Why gross profit and not revenue?
Revenue includes the money you spend delivering the job. Gross profit (revenue minus direct costs such as materials and labor) is what a new customer actually adds to cover the AI receptionist’s cost. Using revenue would overstate the return.
Where do the example numbers come from?
They are illustrative starting points we chose so the calculator shows something useful, not measured industry averages. Replace every value with numbers from your own phone system, booking records and accounts.
How do I find my missed-call rate?
Most business phone systems and VoIP providers report answered, missed and voicemail calls. If yours does not, count unanswered calls for one or two typical weeks.
What do the conservative and optimistic scenarios change?
Only the two most uncertain assumptions: the share of missed opportunities recovered and the conversion rate, scaled down and up by the range you choose. Every other value stays exactly as you entered it.
Is this financial advice?
No. It is a simplified estimate from your own assumptions to help you think through the decision. Actual results depend on your callers, your service, the AI receptionist’s performance and your costs.
