Quick Takeaway
To convert Word to PDF, open the file in Word or Google Docs and choose Save As or Download as PDF, or use your browser’s Print → Save as PDF. To convert PDF to Word, use a converter that extracts the text into a .docx file; text-based PDFs convert well, while scanned PDFs need OCR.
Key takeaways
- Word to PDF is easy and reliable: Word, Google Docs and every modern browser can save a PDF.
- PDF to Word is harder because PDFs store positioned text, not paragraphs, so layouts are rebuilt rather than copied.
- Scanned PDFs are pictures of text and need OCR before they can be edited.
- For confidential files, use a converter that works on your device instead of uploading them.
- Send PDFs for final documents and Word files when someone needs to edit.
Converting between Word and PDF is one of the most common office tasks, and one of the most common reasons people upload private documents to websites they know nothing about. This guide shows the quickest methods on every device and explains what can go wrong.
Our free Word to PDF and PDF to Word converter works entirely in your browser, so your files never leave your device. It is a good fit for contracts, CVs, invoices and anything confidential.
- PDF (Portable Document Format) is an ISO-standard file format that fixes a document’s layout so it looks the same on every device, which makes it ideal for sharing final documents.
How to Convert Word to PDF
| Where | How |
|---|---|
| Microsoft Word (Windows or Mac) | File → Save As (or Export) → choose PDF |
| Google Docs | File → Download → PDF Document (.pdf) |
| Any browser | Open or preview the document → Print → set destination to “Save as PDF” |
| iPhone or iPad | Open the file → Share → Print → pinch out on the preview → Share → Save to Files |
| Without Word installed | Use a browser-based converter such as ours: choose the .docx, convert, then Download PDF |
Check before you send
Open the PDF and scroll through it once. Look for missing fonts, images that moved and tables that split across pages, especially in long documents.
How to Convert PDF to Word
Step 1: Check whether the PDF has text
Try selecting a sentence. If you can highlight words, it is a text-based PDF and will convert well. If you can’t, it is a scan.
Step 2: Choose a converter
Microsoft Word can open many PDFs directly (File → Open), Google Docs can open them with Google Docs, or use our private PDF to Word converter.
Step 3: Convert and download the .docx
Keep “detect headings” on to rebuild the document structure.
Step 4: Tidy the result
Check headings, lists and page breaks. Tables and multi-column layouts may need adjusting by hand.
Why PDF to Word Is Harder Than It Looks
A Word file stores paragraphs, headings and tables as structure. A PDF mostly stores small pieces of text placed at exact positions on a page. Converting back means working out which pieces form a line, which lines form a paragraph, and which text is a heading, from size, spacing and fonts.
That is why simple documents convert almost perfectly while complex layouts (columns, text boxes, forms, tables) may need clean-up. It is not a fault of any one tool; the information simply isn’t stored in the PDF.
What About Scanned PDFs?
A scanned PDF is an image of a page. There is no text inside it to extract, so ordinary converters return an empty or near-empty document. To edit it, you need OCR (optical character recognition), which recognizes letters in the image. Our converter detects scanned PDFs and tells you, rather than producing a blank file.
Is It Safe to Use Online PDF Converters?
Most online converters upload your file to their servers to process it. For a public brochure that may not matter. For a contract, a medical letter, payslips or a CV full of personal details, it means handing sensitive data to a service whose storage and retention you can’t verify.
- Prefer on-device conversion for confidential files: desktop apps or a browser tool that processes files locally.
- Check the privacy policy of any service that uploads your files.
- Avoid converters that require your email just to download the result.
- Remove sensitive details you don’t need before sharing a document at all.
Word or PDF: Which Should You Send?
| Send a PDF when… | Send a Word file when… |
|---|---|
| The layout must look the same everywhere | Someone needs to edit or comment |
| The document is final (invoice, contract, report) | It is a draft or a template |
| You are applying for a job, unless told otherwise | A recruiter asks for .docx specifically |

Automating Document Work
If your team converts, renames, reads or re-types documents every day, that work can usually be automated: extracting data from PDFs and forms, filing documents, and feeding the data into your CRM or accounting system. See our business process automation service.
How do I convert Word to PDF for free?
Use Word’s Save As → PDF, Google Docs’ Download → PDF, your browser’s Print → Save as PDF, or our free Word to PDF converter, which works in your browser without uploading the file.
Why does my PDF look different from the Word document?
Usually because of fonts that aren’t available, text boxes or complex layouts. Converting inside Word itself gives the closest match; browser-based conversion lays out the text using the browser.
Can I convert a scanned PDF to Word?
Only with OCR, which recognizes text in the image. Ordinary converters, including ours, can’t extract text that isn’t there, and ours tells you when a PDF looks scanned.
Is it safe to convert PDFs online?
It depends on the service. Many upload your file to their servers. For confidential documents, use a desktop app or a tool that converts on your device.
Can I convert an old .doc file?
Open it in Word, Google Docs or LibreOffice and save it as .docx first, then convert it.
Will tables and images survive PDF to Word?
Text, headings and lists usually do. Tables, columns and images are often not rebuilt automatically and may need adjusting by hand.
