Quick Takeaway
A good Upwork proposal is short and about the client, not you. Open with their goal in your own words, prove you can do it with one relevant result, outline a 2–3 step plan, ask one smart question and suggest a next step. Answer every screening question and follow any instruction in the job post.
Key takeaways
- Lead with the client’s problem in the first sentence; your name and years of experience can wait.
- One relevant, specific result beats a list of ten skills.
- Each proposal costs Connects ($0.15 each, per Upwork), and the number per job varies, so apply only where you are a strong fit.
- You can edit the cover letter for 6 hours or until the client views it, whichever comes first, so proofread before you send.
- Templates save time, but every proposal needs a first line written for that job.
Most Upwork proposals fail in the first sentence. They start with “Hi, I am a professional with 8 years of experience…”, which is what every other freelancer writes too. The client posted a problem, and they want to see that you understood it.
This guide gives you a 5-part template, two complete examples and the platform rules that affect your proposal (Connects, screening questions, editing). The platform facts come from Upwork’s Help Center, checked in October 2026. The writing advice is ours, from writing and reviewing proposals for US clients.
- Upwork proposal
- An Upwork proposal is your application to a client’s job post. It includes your rate or bid, an estimated timeline, a cover letter, answers to the client’s screening questions and optional work samples. Submitting one costs Connects, Upwork’s proposal tokens.
What goes into an Upwork proposal?
According to Upwork’s Help Center, when you select Apply now on a job post you:
Step 1: Choose freelancer or agency
Pick whether you apply as yourself or for your agency.
Step 2: Set your terms
Your hourly rate, or your bid on a fixed-price job and whether you are paid by project or by milestone.
Step 3: Estimate the timeline
How long you expect the project to take.
Step 4: Write your cover letter
Upwork suggests describing what you can do for the client, asking questions about the project and suggesting next steps, such as a chat or video call. A Get tips button gives AI suggestions on your letter.
Step 5: Answer screening questions
If the client added questions, answer each one directly.
Step 6: Add proof
Attach work samples or link past Upwork jobs, portfolio items and certificates as profile highlights.
Step 7: Decide on a boost and send
If boosting is available, choose whether to bid extra Connects. Proofread, then select Send.
Some jobs skip the cover letter
Upwork notes that some job posts ask for a video interview with its AI interviewer, Uma, instead of a cover letter. The structure below still helps you plan what to say.
What is a simple Upwork proposal template?
Use these five parts in this order. Keep the whole letter short enough to read on a phone in under a minute.
| Part | What to write | Length |
|---|---|---|
| 1. Their goal | Restate the client’s outcome in your own words, not a copy of the post | 1–2 sentences |
| 2. Proof | One past result that matches this job, with a link or sample | 1–2 sentences |
| 3. Plan | The first 2–3 steps you would take | 3 short lines |
| 4. Question | One question that shows you read the details | 1 sentence |
| 5. Next step | Availability and a suggested chat or call | 1 sentence |
Hi [client name, if shown],
You need [their outcome in your words], and [the detail that matters most to them].
I recently [one relevant result], here: [link or attached sample].
Here is how I would start:
1. [first step]
2. [second step]
3. [what they get at the end]
Quick question: [one specific question about the job].
I can start [day]. Happy to talk it through on a short call in Upwork Messages.
[Your first name]If the post says something like “start your proposal with the word blue”, do exactly that. Clients add these lines to filter out copy-paste applications.
What does a good Upwork proposal look like?
Two examples for made-up job posts. The results in them are placeholders: only ever write results you can show.
Example 1: Shopify speed fix (fixed price)
Hi Dana, your Shopify store loads slowly on phones and you want it fixed before your holiday sale, without changing the design. Last month I cut a home-goods store’s mobile load time by more than half by compressing images and removing two unused apps. The before-and-after PageSpeed reports are attached. How I would start: 1. Run a speed audit and send you the 5 biggest causes within 24 hours. 2. Fix images, apps and theme code in a duplicate theme, so your live store is never at risk. 3. Publish when you approve, with a before/after report. Quick question: are you planning to add any new apps for the sale? I would test with them installed. I can start Monday. Happy to do a 10-minute call in Upwork Messages.
Example 2: Blog writer for a dental practice (hourly)
Hi, you need 4 blog posts a month that patients actually read and that bring in local searches for your practice, written in plain English. I write for small healthcare businesses. Here is a post I wrote about teeth whitening that now ranks on page one for the client’s city: [link]. My process: 1. A 20-minute call to learn your services, tone and the questions patients ask most. 2. A monthly topic list for your approval. 3. Drafts reviewed by your dentist before anything is published. Quick question: do you want posts to mention prices, or send readers to call? I am available for about 10 hours a week, starting this week.
Notice what both examples skip: no life story, no “Dear Sir/Madam”, no list of every tool the freelancer knows. Each sentence answers a question the client has.
How many Connects does a proposal cost?
Upwork says the number of Connects needed varies by job and can change while the job is posted, based on factors such as project size, scope and demand. The job post shows the number before you apply. Connects cost $0.15 each and are sold in bundles.
| Situation | Connects returned? |
|---|---|
| Client cancels the project before a contract is made | Yes (not for expired posts) |
| Upwork removes the post for violating its Terms of Service | Yes |
| Client rejects your proposal or hires someone else | No |
| Job expires without a hire | No |
| You withdraw your proposal | No |
Returned Connects go back to your balance; they are not refunded as cash. Upwork also runs free-Connects offers, such as rewards for earning badges like Rising Talent and Top Rated. Because Connects cost real money, Upwork recommends checking the client’s history and feedback, whether they have already hired, and how many proposals and interviews a post already has before you apply.
A quick filter before you spend Connects
Apply when you can name a past result that matches the job, the client’s history and feedback look real, and you can write a first line specific to this post in under five minutes. Skip the rest.
Can you edit an Upwork proposal after sending it?
Partly. Upwork lets you edit the cover letter, your answers to client questions, profile highlights and attachments within six hours of sending or until the client views the proposal, whichever comes first. After that, you can still change terms such as your rate, timeline or milestones until the client accepts or rejects it. Once an offer is made, the terms are locked unless the client agrees to change them. In practice, treat the moment you press Send as final.
What mistakes waste Upwork proposals?
- Opening with yourself. “I am a…” as the first words. Open with the client’s goal instead.
- Copying the job post back. Restating the post word for word shows you can paste, not that you understood.
- Skipping screening questions or instructions such as a code word.
- Listing every skill. One proof that matches the job is more convincing than ten keywords.
- Unedited AI text. AI drafts are fine as a start, but generic phrases read like everyone else’s. Our guide on making AI writing sound human shows what to fix.
- Chasing the client. Upwork’s rules prohibit spam; don’t repeatedly message a client who hasn’t replied before a contract starts.
How can you write proposals faster without sounding generic?
Keep a document of your best 5–10 results, each with a link, and reuse them. Write the first line and the question fresh every time; the plan and the proof can be adapted from earlier proposals.
Our free Upwork proposal generator does the assembly for you: paste the job post, add your role, one result and your skills, and it drafts a client-first proposal using this structure and flags instructions like code words. It runs in your browser. Then edit the first line in your own words.
Your Upwork profile does the rest of the selling, and it works like a resume. Our guides on writing an ATS-friendly resume and writing a resume for US jobs cover how to write achievement lines, and when you land the contract, how to invoice as a freelancer in the US covers getting paid outside the platform.
How long should an Upwork proposal be?
Short enough to read in under a minute on a phone. The 5-part template above usually comes to about 100–200 words. Add length only when the client asks detailed questions.
Should I use the same proposal template for every job?
Use the same structure, not the same words. Clients can spot a copy-paste letter in the first line. Write the opening sentence and the question for each job, and reuse your proof and process lines.
How much does it cost to send a proposal on Upwork?
It depends on the job. Upwork shows the number of Connects required on each job post, and that number can change while the job is open. Connects cost $0.15 each according to Upwork’s Help Center.
Do I get my Connects back if the client doesn’t hire me?
No. Upwork returns Connects only when the client cancels the project before a contract is made, or when Upwork removes the post for breaking its rules. Rejections, expired posts and withdrawn proposals are not refunded.
Can I use AI to write my Upwork proposal?
Yes, as a starting point. Upwork itself offers AI tips in the proposal form. Check every claim is true, delete generic phrases and write the first line yourself so the client sees you read their post.
What should I write if I have no Upwork reviews yet?
Use proof from outside Upwork: a portfolio piece, a past employer project, a free sample or a short plan specific to their job. A clear first step and a fair starting rate also lower the risk for the client.
